The Client
A B2B distribution company with a 15-person field sales team covering the Delhi NCR region. They sell industrial supplies to manufacturing units, warehouses, and construction sites.
Their sales reps visit 8-12 prospects per day, collecting information, logging visits, and following up on quotes. A typical sales cycle is 2-4 weeks with multiple touchpoints.
The Problem
When we first talked to the sales manager, she described a typical day:
"My reps spend the first hour every morning updating yesterday's visits in Excel. Then they're in the field. When they get back, they spend another hour updating the spreadsheet, sending follow-up emails, and logging notes. That's 2-3 hours a day on admin work. The app works offline and syncs automatically when connected. Reps can log a visit in under 60 seconds.
2. Automated Follow-Up System
Every visit triggers the right next action:
- Quote requested: Auto-generates a quote template and assigns to the rep
- Callback scheduled: Creates a calendar event and sends a reminder 30 minutes before
- Interested but not ready: Adds to a nurture sequence with automated check-ins at 7, 14, and 30 days
- Not interested: Marks as closed-lost with the reason, for future analysis
3. Manager Dashboard
A real-time dashboard showing:
- Where each rep is right now (live map)
- How many visits completed today vs. target
- Conversion rates by rep, area, and product category
- Follow-ups due today and overdue
- Daily/weekly/monthly reports auto-generated and emailed
The Implementation
We deployed the system in 5 days:
- Day 1: Discovery call + requirements mapping
- Day 2-3: System configuration + data import from existing spreadsheets
- Day 4: Training session (30 minutes for reps, 1 hour for managers)
- Day 5: Go live with full support
We kept it simple. No complex customization. No six-month implementation. Just a working system that solved the core problems.
The Results
After 30 days:
